Why the document matters
Most delays in equipment procurement come from an incomplete requirement rather than from supply. A clear requirement lets suppliers return comparable options in a single round instead of three rounds of clarification.
Clinical section
State the department, the procedures to be performed, expected daily and annual volumes, patient profile including paediatric or bariatric needs, and the clinical capability that must not be compromised.
Technical section
List mandatory specifications separately from desirable ones. Mandatory items should be genuinely mandatory; over-specifying eliminates good options and inflates price. Include compatibility requirements with existing systems and archives.
Site readiness section
Room dimensions and access route, floor loading, ceiling height, electrical supply and earthing, air conditioning, shielding status and any civil work that will be required. Attach a floor plan when one exists.
Commercial and service section
Preferred acquisition route (new, refurbished or either), target commissioning date, budget range, warranty expectation, training requirement, service response expectation and any documentation the institution requires.
